Parish Hall – Covid-19 Special Conditions of Hire

The following conditions are supplemental to the standard ‘Conditions Relating to the Use of the Premises’. Where they contradict the standard ‘Conditions Relating to the Use of the Premises’ these Covid-19 Special Conditions of Hire take precedence and must be complied with.

  1. The Occupier shall be responsible on an ongoing basis for ensuring that his use of the Premises is permissible under any Covid-19 restrictions which are in place and complies with all government regulations and guidance.
  • 14 days in advance of the start of the hire period the Occupier shall provide an appropriate Covid-19 risk assessment covering all activities which will take place on the Premises during the period of hire. Failure to provide such a risk assessment prior to the commencement of the hire period will deem the Licence terminated.
  • The Occupier is responsible for:
    • determining the number of participants who can safely participate in his use of the Premises;
    • for complying with any Covid-19 safety precautions required by the Parish or Diocese;
    • for determining suitable and sufficient Covid-19 precautions (e.g. social distancing, mask-wearing) in respect of his use of the Premises; and
    • for ensuring such precautions are complied with by the Occupier, his agents, employees and visitors at all times.  
  • The Parish will ensure the Premises are cleaned before the period of hire commences. The Occupier is responsible for:
    • regularly cleaning all frequently touched points (such as door handles/push plates) throughout the period of hire and prior to leaving the Premises using the products supplied;
    • cleaning all equipment used (e.g. tables and chairs, crockery and cutlery) prior to leaving the Premises using the products supplied;
    • before leaving the Premises emptying all general waste bins which have been used in all areas of the premises, including the kitchen and toilets, securely tying the rubbish bags and placing them in the external bins provided;
  • The Occupier will encourage those who attend his activity/event to use the QR code displayed on the Premises or will keep a record of the name and telephone number/email address of all attendees for a period of 3 weeks after the event and will provide details to NHS Track and Trace, if required.
  • The Occupierwill keep the Premises well-ventilated during the hire period, however, fire doors must not be propped open. The Occupier is responsible for ensuring all windows and doors are securely locked on leaving the Premises.
  • The Occupier shall be responsible for indemnifying the Parish Priest, Parish and Diocese from and against all actions, costs, claims, demands and damages arising from any breach of these Special Conditions of Hire, any accidents, injuries, illnesses or diseases sustained by any persons arising out of or incidental to the use of the Premises by the Occupier, its employees or agents.
  • The Occupier shall effect, and shall ensure that any suppliers shall effect, adequate Public Liability cover with an insurance company, such insurance must not contain any Covid-19 or pandemic exclusions and must have a minimum limit of indemnity of £5,000,000, and the Occupier must produce evidence of such insurance cover prior to the hire commencing.
